Within these Booking Terms and Conditions, “you” and “your” means the person signing the booking form as party leader and all other persons in the party (including anyone who is added or substituted at a later date). “We”, “us” and “our” means WHFE limited
1. Booking contract
1.1 You (the person signing the booking form as party leader) agree to enter into a contract with us on the following terms and conditions.
1.2 The contract commences when we have issued the written booking confirmation. We reserve the right to refuse any booking.
1.3 You must be aged 18 years or over when the booking is made.
2.1 The booking form must be accompanied by a 50% deposit of the total amount due inclusive of the VAT. This is non refundable unless the cancellation is made in writing whereupon the provisions of clause 8.2 shall apply. Our prices are available from our website and are for the property rental only, based on the number of guests occupying Valued Added Tax will be chargeable at the prevailing rate at the time of the booking. To secure a reservation, we require written confirmation to accept the booking, the deposit and a completed booking form (which will be sent to you for completion), within 12 hours of initially accepting the booking. Failing to complete these requirements within this time frame, will result in the immediate cancellation of the reservation.
2.2 The balance of the booking price (the remaining 50% total cost of the booking) must be paid at least two weeks (14 days) prior to your arrival at the property failing which we reserve the right to treat the booking as cancelled. Electricity plus VAT will be charged for at the end of your stay.
2.3 Bookings taken within four weeks of arrival at the property must be paid in full at the time of booking.
2.4 We accept payment by British cheques or electronic bank transfer (BACS). Payment is required in cash if the booking is made within two weeks of your arrival date.
2.5 All payments must be made payable to WHFE Limited.
2.6 All bank charges from the UK or abroad are to be paid for by the customer when using a BACS transfer. If any outstanding bank charges have occurred, these are to be paid for on arrival.
3. Your responsibilities
3.1 You must keep the property and all furniture, fittings, facilities, equipment and grounds in the same state of repair and condition as at the commencement of the holiday and in the same state of cleanliness and general order in which it was found. You will be responsible for the payment of any breakages, loss or damage to the property caused by you. We reserve the right to levy an additional charge for extra cleaning required after your occupancy.
3.2 You and the members of your party are reminded that the property is on a working farm and care must be taken at all times. We cannot accept responsibility for injuries or damage sustained to individuals or property sustained whilst on the farm.
3.3 The person signing the contract is responsible for the correct and decent behaviour of their party. Should you or a member of your party abuse the property or display dangerous, offensive or rude behaviour to our representatives or any third parties (e.g neighbours) we reserve the right terminate the holiday of the person(s) concerned.
3.4 You must not exceed the number of people stated on your booking form and the number of people must not exceed the maximum number of people allowed in our property details.
3.5 In the event of you breaching the responsibilities set out above, we reserve the right to ask you to vacate the property and the contract will terminate without refund or compensation.
3.6 The owners cannot be held responsible for any damage caused by personal electrical items belonging or being used by guests within the property. All electrical equipment provided by the owners for use in the properties is P.A.T tested and assessed on yearly basis, therefore personal items are used at your own risk.
3.7 There are a number of cattle grids located around Lockley Farm. There is no pedestrian access across the cattle grids, so you must use the side gates to navigate around them. Please ensure that the gate is then closed for your own security and that of livestock. Children must be supervised at all times.
4. Arrival and departure
4.1 Access to your accommodation is after 4pm on the date of your arrival, unless special arrangements have been agreed in advance. The accommodation must be vacated by 10am on your departure date. Please telephone us on the proposed date of arrival to clarify the time of your arrival or if you are delayed to ensure we can be available to release keys.
5. Breakages and insurance
5.1 Minor breakages must be replaced with similar items. You must report to us promptly any major breakages or damage and reimburse us with the cost of replacement. We reserve the right to make a claim against you for repair or loss as a result of damage caused.
5.2 Personal possessions are not covered by our insurance. Any valuables left at the property are left at your own risk. It is essential and your responsibility to ensure all doors, shutters and windows are closed and locked when leaving the property, or when in the grounds. We strongly advise that you take out adequate travel insurance (including liability for accidental damage to the property, cancellation cover and medical and emergency expenses) prior to the commencement of your holiday.
5.3 We reserve the right to charge for full costs of changing the locks and key cutting, including the Locksmith’s callout fee, if the Barn front door key and/or bedroom keys are lost or not left with us on departure.
5.4 There are fire extinguishers, detectors and alarms fitted throughout the properties. There is a Fire Notice in each property, displaying the procedures in the event of a emergency.
6.1 We cannot accept liability for any loss, damage or injury howsoever caused to you or to your personal property.
6.2 Children should be supervised and monitored at all times
6.3 The owners will give a detailed tour of the farmyard to all guests on arrival advising them of out of bounds areas and general saftey rules to be adhered to at all times.
6.4 We cannot be held responsible for noise or disturbance originating beyond the boundaries of the property.
6.5 We cannot accept any liability for compensation where performance or prompt performance of our contractual obligations is prevented or affected by reasons outside of our reasonable control including adverse weather conditions, acts of God, explosion, tempest, fire or accident, war or threat of war, civil disturbances, restrictions and regulations of any kind on the part of the government or local authorities, strikes, lock-outs, or other industrial action or dispute.
6.6 We cannot accept responsibility for the failure of public services such as water, gas, electricity, plumbing or sewerage systems, breakdown of domestic equipment and breakdown of mechanical equipment such as pumps and boilers (but will endeavour to arrange prompt repair).
7.1 In the event that a complaint arises whilst you are on holiday you should contact us promptly and before your departure to allow us an opportunity to rectify the matter.
7.2 If the problem is not resolved to your reasonable satisfaction during your holiday, you should put your comments in writing within seven days of your return.
7.3 We cannot accept complaints unless this procedure is followed. Complaints received after your holiday will not be accepted if we have not had prior notification of your complaint and if you vacate the property before the departure date without notifying us you will forfeit your right to a refund.
8. Alterations or cancellation by you
8.1 If you request any changes to your booking we will endeavour to comply, but cannot guarantee to be able to. An administration charge will be payable.
8.2 Cancellation by you of your booking must be in writing. The effective date of cancellation is the date we receive written notification. Our cancellation charges are detailed in the table below.
This table shows the cancellation charge (as a percentage of the total cost of the holiday) according to the number of days before the booking start date, that you have notified us.
0 to 28 days 100% of the cost of rental will be non-refundable (i.e. you will receive no refund)
28 days or more- Deposit only (i.e. you will only receive 50% of the cost of rental)
8.3 We shall also charge a cancellation charge of £20 plus VAT to cover our administration costs.
9. Alterations or cancellation by us
9.1 In the interest of continual improvement we reserve the right to make minor modifications to furniture, amenities and facilities without any prior notice.
9.2 In the unlikely event that the property is not available on the date booked (owing for instance to fire damage or flooding), if requested and if available we will try to arrange alternative accommodation of a similar type, price, standard and location. A refund of all monies paid by you to us is alternatively available.
10.1 No pets are allowed in the Accommodation or in the neighbouring farmyard or on the farm. This includes any pets belonging to visiting friends and relatives.
11. Internet Access
11.1 There is Wi-Fi internet access in all of the Barns. The owners cannot be held responsible for any information or material downloaded from the Internet by guests.
12. Brochure and web site accuracy
12.1 The contents of our web site and brochure have been prepared in good faith. We will inform you of any significant changes at the time of booking or as soon after as possible if you have already booked, but shall not be liable for any minor or insignificant inaccuracy in descriptions and information.
12.2 We cannot accept responsibility for any changes or closures to area amenities or attractions mentioned in the on the web site.
13.1 We make it our highest priority to ensure that your personal information provided to us is secure and confidential. We will not sell your personal information to third parties.
13.2 In Accordance with the GDPR(General Data Protection Regulations) May 2018.
What we collect.
In order to process your booking we will need to collect certain personal information from you. These will include your name,address,email and other contact details and those of any other guests in your party. The dates of the guests stay and any special requirements.
They may also include payment details relating to that specific booking.We only ask for details that we need to know in order to process the booking.
What do we do with the information we collect.
Any information you supply us via phone,email or otherwise will be retained in on a booking form or on a database and will only be used for the purposes of administrative functions to contact you about the booking or to send information to you regarding your stay.
Your details will not be passed on to any third party,except in cases where we have a legal obligation to disclose such information.
We are committed to ensuring that your privacy is protected and understand the need for appropriate protection of all personal information provided by you.

14. Access for maintenance
14.1 We or our representatives have a right to access the property at any reasonable time during your stay to carry out essential maintenance
15.1 These terms and conditions and the contract to which they apply are governed in all respects by English law and the English courts only shall have jurisdiction in relation to them.
16. Acceptance of these conditions
16.1 By signing and returning a booking form you are confirming that you have read and accepted the above conditions.
Long-Term Accommodation Terms and Conditions
Long-term accommodation subject to contract.
At Lockley Farm we are following strict government Covid-19 guidelines on social distancing, with Hand Sanitiser being provided around the site. Furthermore, we have also registered with the optional NHS Track and Trace system and can provide a QR code which is used along side the downloaded app, risk assessments in required areas have been completed and we are endeavouring to ensure that what ever future measures are required here at Lockley Farm these are and will be addressed, to maintain as safe an environment as possible.
It does however remain the individuals responsibility to follow the recommended government guidelines while on the premises and your co -operation regarding these matters would be greatly appreciated.
Lockley Farm WHFE Ltd cannot therefore accept any responsibility concerning Covid-19 transmission on the premises.
